Software applications and information systems are vital for all companies to manage businesses properly. There are extensive amounts of information and procedures within a company that requires the use of efficient software resources to have control and accurate maintenance of the information. By acquiring a software application, departments such as accounting, marketing, and human resources can keep the track of many areas within each department. The information systems will help to manage and deliver all information entries and updates.
Today, the uses of software applications and information systems have been an essential part of every business. Those applications and software enable the companies to build stronger structures and strengthen their departmental divisions. By using those resources, they can develop efficiency, productivity, and reliability for their businesses. Also the resources help to manage the time in a correct manner and less time consuming.
Considering human resources department, software applications such as HRIS, Quickbooks, and PeachTree are used by small and medium companies. Because human resources department deals with employees, the application was designed to meet the customer needs. Human resources need to maintain employee records, personal data, and many different actions. It is also used for reviews and employee evaluations, work performance, enrollment, and to maintain all employee data in a proper manner and ensuring confidentiality policies according to many regulation agencies such the “Agency for Workforce and Innovation”, and others, the use of this type of software becomes extremely important for the company success within the human resources department. In fact, human resources information systems help with placement, recruitment, compensation, career development, and evaluations of the employees within a company.
The marketing department is the guide of a company. They are responsible for planning, analyzing, implementing, and evaluating strategies. Applications such as CRM are used to help businesses to attract opportunities, customers, and grow by using certain techniques. It also helps to keep tracking on current and potential customers. CRM is an excellent tool to assist with follow up because a sales/marketing team will include more than one person. Customers are always searching for better options and this type of application will help to strengthen and reach the departmental goals more marketable. CRM is used by the United States largest organizations. In an article presented by Richard Whitney a senior VP-director, Marketing Database Services, at Draft New York, CRM emerged in the late 1990 as a technological strategy to improve the way companies enhance customer service and relations. This software changes the way companies operate “by automating and integrating marketing, sales and service” (Whitney, 2006, Page Bio). The marketing and sales department can capture, store, and organize information with the use of CRM to improve better quality of service to existing and new potential customers. By touching just one button key, the information about a company’s customers can help make accurate decisions.
For the accounting department, I chose ACCPAC Finance and Accounting Software. This application software fits small, medium, and large sized businesses. It provides a real-time visibility into financial and operational data. The software is a corporate strength application that helps to improve the company’s business performance. This software automates critical business channels, it helps increasing the financial productivity to specific accounting guidelines from the FASB (Financial Accounting Standards Board), Sarbanes-Oxley, and GAAP (Generally Accepted Accounting Principles). Those applications refer to the accounting department because it has a number of different modules available for each part where the accounting department is responsible for. It has modules for accounting, contract management; revenues, order management, inventories, multi-currency, purchasing, vendors, consolidation, and financial reporting through the Internet with their features. By using this type of resources, the departmental goals will be accurate, efficient, and productive. Information systems help accounting departments by maintaining record control the movement of funds within the company and produces financial statements, will manage cash flow, loans, securities trading, and check processing.
Employees in today’s society are carrying out various processes in their organizations because of the progress made in technology. Software applications and information systems improve efficiency, accuracy and reliability of every corporate process that enable the employees to perform their duties in a faster, easier, accurate manner.
